WhatsApp Business App or WhatsApp Business Platform: which one do you need?
Many businesses start on WhatsApp with the free WhatsApp Business App, and at some point wonder whether they have outgrown it. The WhatsApp Business Platform, sometimes called the WhatsApp Business API, is the other option. The names are similar, but the two are built for very different situations.
The WhatsApp Business App
The app is a free download for Android and iPhone, made for small businesses. It gives you a business profile, catalogue, labels, quick replies and simple automatic greeting and away messages.
It works best when:
- one person, or a small team, answers customer messages
- message volume is manageable by hand
- you do not need to connect WhatsApp to other systems
Its limits appear as you grow. Everyone works from the same phone or its linked devices, there is no proper way to assign conversations to specific people, and it is hard to see whether messages are being answered on time.
The WhatsApp Business Platform
The Platform is Meta's offering for medium and large businesses. There is no WhatsApp app to install. Instead, you use it through software such as beeoneten, which connects to WhatsApp on your behalf.
That opens up things the app cannot do:
- many agents answering from the same official number, each with their own assigned conversations
- automation, chatbots and AI agents that reply instantly
- sending notifications such as order updates and one-time passwords from your own systems
- campaigns to customers who have opted in, using templates approved by Meta
- connecting conversations to your CRM, store or other tools
- reporting on response times and team performance
Meta charges for certain kinds of messages on the Platform, such as marketing and utility templates. Replies to customers within the 24-hour customer service window are handled differently, so it is worth understanding how the window works before you plan your costs.
How to decide
A simple test: if more than a couple of people need to answer customers, if you are missing messages, or if you want WhatsApp to work together with your other systems, it is time to look at the Platform.
If you already use a number on the WhatsApp Business App, ask your provider how that number can be moved to the Platform and what options exist for your situation. Your chat history in the app is not carried over automatically, so plan the switch for a quiet moment.
